Create a sales order and invoice

Follow a customer sale from order creation to delivery, invoicing, and payment recording.

Sales orders and invoices are separate records. A confirmed order reserves stock for delivery; delivering the order moves stock. An invoice records what you bill the customer and any payments received.

Create and confirm an order

  1. Open ERP → Sales and choose New sales order.
  2. Select a customer, add product variants and quantities, and review the prices, taxes, currency, and delivery details.
  3. Save the order as a draft. Check the details, then choose Confirm when the order is ready.

Confirming checks stock availability and reserves the remaining quantity for this order. If there is not enough available stock, review the quantities or warehouse before trying again.

Deliver the order

Open the confirmed order and choose Deliver. Enter the quantity being delivered for each line. You can deliver part of an order and return later to deliver the rest.

Each delivery reduces stock from the order’s warehouse. When all ordered quantities have been delivered, the order is marked fulfilled.

Create and issue an invoice

From the order, choose Create invoice. Select the quantities to bill; Arata tracks how much of each order line has already been invoiced. Review the draft invoice and choose Issue when it is ready to send or print.

Issuing the invoice makes it an active receivable. Invoice numbers are assigned when documents are created and remain part of the history if a document is later voided.

Record a payment

Open the invoice and choose Record payment. Enter the amount, date, method, and reference if you have one. The invoice status updates based on the amount paid; partial payments leave a balance open.

Check the customer, currency, quantities, and prices before confirming or issuing. Prices and tax are saved on the document and are not changed when you later update the product catalog.
