Order from a supplier

Create a purchase order, receive goods into stock, and record the supplier’s bill.

Use a purchase order to record what you plan to buy. Receiving the order records the goods arriving and increases stock. A vendor bill records what your supplier charged.

Create a purchase order

  1. Open ERP → Purchases and choose New purchase order.
  2. Select a supplier, add product variants and quantities, and review the cost, currency, and expected details.
  3. Save the order as a draft, check it, and choose Confirm when it is ready.

You can set supplier prices on product records. If there is more than one supplier price, Arata uses the selected supplier’s price when preparing the order.

Receive the goods

Open the confirmed purchase order and choose Receive. Enter the quantities that arrived. You can receive the order in more than one delivery; each receipt increases stock at the order’s warehouse.

If you received fewer items than expected, record only the amount that arrived. The remaining quantity stays open on the order.

Record the supplier bill

From the purchase order, choose Create bill. Review the quantities and amounts, save the draft, and issue it when you are ready to record the payable. Record payments on the bill as they are made.

Plan a reorder

The reorder page can suggest purchase orders for items at or below their reorder level. Review suggested quantities and supplier details before creating draft orders; the suggestions are a starting point, not a replacement for checking what your business needs.

Receiving goods changes stock. Creating or issuing the vendor bill records the financial document; it does not receive the goods for you.
